Privacy Notice

This Privacy Notice explains how personal data is processed when you register for a WORTEX Challenger Series tournament.

It applies to information submitted through the StarCraft II tournament registration form and to the public registration list displayed on the tournament website.

WORTEX uses registration information only where necessary to organise and administer the tournament, communicate with participants, manage entry-fee payments, issue invoices, administer the venue, verify participation requirements, and process tournament prizes.

Information we collect

When you register for the tournament, we collect the information necessary to administer your participation.

Public tournament information

The following information is displayed on the public tournament website:

  • Player nickname
  • Clan name, if provided
  • Clan tag, if provided
  • Country
  • Registration status

Registration status may be displayed as:

  • PENDING
  • CONFIRMED
  • WAITING LIST

Pending and Confirmed are administrative registration statuses.

Waiting List may be shown on the website when confirmed tournament capacity has been reached. Waiting-list display is a website presentation state and does not necessarily create a separate underlying Sheet status if the registration backend continues to use Pending / Confirmed.

This information is published so participants and visitors can see the tournament field and the current registration status of players.

Private / administrative registration information

The following information is not displayed on the public player list:

  • Registration ID
  • First name
  • Surname
  • Email address
  • Discord username
  • Battle.net ID / BattleTag
  • Preferred payment method
  • Billing country
  • Postal code
  • City
  • Street address

Discord username and Battle.net ID / BattleTag are used for tournament administration (for example Discord membership verification, match administration and player identification), but they are not currently displayed publicly on the tournament website.

Each registration receives a unique Registration ID generated by the registration system. It is used for registration identification and administrative communication, is sent to the participant by email, and is visible to tournament administration. It is not displayed in the public player list.

Private information is used only where necessary for tournament administration, participant communication, payment handling, invoicing, prize payout, venue administration, Discord membership verification, and participation in the event.

Why we process your data

We process registration information for the following purposes:

Tournament registration and participation

To receive and administer registrations, communicate tournament information, verify participation requirements, manage player capacity and waiting lists, organise seeding and tournament administration, and enable participation in the event.

Tournament communication

Your email address and Discord username may be used to send information directly related to the tournament, including:

  • registration information
  • Registration ID
  • payment instructions
  • check-in information
  • schedule changes
  • venue information
  • tournament administration messages
  • other important information relating to your participation

These details will not be used for unrelated marketing unless separate permission is obtained.

Payment and invoicing

Your name, billing address, preferred payment method and relevant registration information may be processed to:

  • administer the tournament entry fee
  • issue invoices
  • maintain legally required financial and accounting records

Prize payout

If you win a prize, additional information may be required where necessary to process the prize and comply with applicable accounting, tax or payment obligations.

Players will be informed separately if additional information is required.

Discord membership

Membership of the official WORTEX Discord server is a tournament participation requirement.

The Discord username provided during registration may be checked by the organizers to verify that this requirement has been fulfilled. The Discord username is not displayed on the public player list.

Public tournament list

Only player nickname, clan name, clan tag, country and registration status are displayed publicly as part of the tournament registration list.

The purpose is to transparently present the tournament field and current registration status to players and visitors.

Legal basis for processing

Personal data may be processed on one or more of the following bases, depending on the purpose:

Steps at the player’s request / performance of the tournament arrangement

For tournament registration, participation administration, player communication, check-in, tournament scheduling, Discord verification, and tournament operation.

Legal obligation

For invoicing, accounting records, tax-related records, and other legally required financial administration.

Legitimate interests where applicable

For protecting tournament integrity, preventing fraud or abuse, maintaining tournament security, resolving disputes, and maintaining necessary operational records.

WORTEX will only rely on legitimate interests where the interests and rights of participants have been considered appropriately.

Consent where applicable

Only where a specific optional processing activity actually relies on consent.

Submitting a registration and participating in the tournament is not based solely on GDPR consent where another legal basis is more appropriate.

Required and optional information

Fields marked with * in the registration form are required to process tournament registration.

If the required information is not provided, WORTEX may be unable to accept or administer the registration.

Clan Name and Clan Tag are optional.

Providing optional information is not required to participate in the tournament.

Who can access your data

Private registration information is access-restricted and should only be available to persons who need it for tournament administration, legal, accounting or financial purposes.

Depending on the purpose, limited information may also be processed by service providers necessary for operating the tournament, such as:

  • Google, for Google Sheets / Google Drive and related cloud services used to store and process tournament registration information
  • Cloudflare, for Cloudflare Turnstile anti-bot / security verification on the registration form
  • invoicing or accounting service providers
  • payment service providers
  • the tournament venue, where specific participant information is required for venue administration

Only information necessary for the relevant purpose should be shared.

Cloudflare may process technical information necessary to perform anti-bot / security verification when the registration form is used. Cloudflare does not receive the full registration form content for storage as tournament registration records. Cloudflare may process data under its own privacy and data-processing terms.

Payment providers such as banks, PayPal or Revolut may process payment information under their own privacy policies when a player uses their services.

Data storage

Tournament registrations are stored using Google Sheets and related Google services.

Google acts as an external technology/cloud service provider for the storage and processing of registration information. The Google Sheet used for tournament administration is not a public document.

Where processing by a service provider involves the transfer of personal data outside the European Economic Area, such transfers must be handled using the safeguards required under applicable data-protection law.

Private registration data must never be returned by the website’s public player API.

Data retention

WORTEX does not intend to keep tournament registration information indefinitely.

Tournament administration data

Private registration information that is required only for organising and operating the tournament will normally be deleted after the tournament has concluded and outstanding tournament administration has been completed.

Target retention period: within approximately 30 days after completion of the tournament, unless the information must be retained for a longer period because of a legal obligation, payment dispute, prize payout, legal claim, accounting, tax or other justified requirement.

Public registration list

The public registration list is intended for tournament administration and will be removed after the tournament has concluded and the registration process is no longer required.

Invoice and accounting information

Information contained in invoices, accounting records or other documents subject to statutory retention obligations cannot be deleted immediately after the tournament.

Where Hungarian accounting law requires retention of accounting documents, the relevant records may be retained for the legally required period, which can generally be at least 8 years.

Only legally required financial and accounting records should be retained for that longer period. Not every registration field is retained for 8 years.

Registration status

A new registration initially receives PENDING.

Pending registration does not reserve a tournament place.

Registration becomes CONFIRMED when payment has been received and the registration has been accepted.

The first 32 paid and confirmed players receive confirmed tournament places.

If tournament capacity has been reached, additional registrations may be displayed publicly as WAITING LIST.

Waiting-list display is a website presentation state and does not necessarily create a separate underlying Sheet status if the backend continues to use Pending / Confirmed.

Your rights

Subject to the conditions of applicable data-protection law, you may have the right to:

  • request access to your personal data
  • request correction (rectification) of inaccurate personal data
  • request erasure of your personal data
  • request restriction of processing
  • object to certain processing where applicable
  • request data portability where applicable
  • withdraw consent where processing is based on consent
  • lodge a complaint with a competent supervisory authority

Requesting deletion

You may request deletion of your registration information by contacting:

Where there is no continuing legal or administrative reason to retain the information, it will be deleted.

Some information cannot be deleted immediately where WORTEX is legally required to retain it, including information forming part of required accounting or invoicing records.

Automated decision-making

WORTEX does not use automated decision-making or profiling to decide whether a player may participate in the tournament.

Registration processing may use automated technical checks. Anti-bot verification, duplicate validation and status display are technical or administrative operations and are not automated legal or similarly significant decisions about participation.

Final participation and administrative decisions are made by tournament administration.

Where the data comes from

Registration information primarily comes directly from the participant through the tournament registration form.

Registration ID and registration status are generated or assigned through the tournament administration system. They are not supplied directly by the player as free-text public fields.

WORTEX does not obtain the private registration information listed in this notice from third-party databases.

Data security

WORTEX takes reasonable technical and organisational measures to protect registration information against unauthorised access, disclosure, alteration or loss.

Private registration information is access-restricted and should only be available to persons who need it for tournament administration, legal, accounting or financial purposes.

Data protection authority

If you believe that the processing of your personal data violates applicable data-protection law, you have the right to lodge a complaint with a supervisory authority.

This Privacy Notice may be updated if the tournament registration process, service providers, legal requirements or processing activities change.

The latest version will always be published on the tournament website.
